Introduction
This article explains what agency licenses are and how to manage them within the BindHQ platform. The Agency License Management area centralises all MGA-owned licenses in one organised location. Here, you can store and manage licenses for:
Companies or Individuals
Any U.S. state
Both admitted and non-admitted entities
BindHQ also supports license template replacements, which enable the automatic insertion of licensing details into documents, emails, and other system-generated outputs.
What Agency License Management Does
Agency License Management enables you to maintain all state-specific licensing information used by your MGA, agency, or producer.
For each U.S. state, you can configure:
State
License Number
Type
License Holder Name
Responsible Individual Producer for company licenses
Admitted Status
Accessing and Managing Agency Licenses
Navigate to:
Settings → Company Settings → Licenses
From this page, you can:
Browse existing licenses
View and edit license details
Create new licenses
Available Filters (Browse / View / Edit)
Use filters to locate the correct license quickly:
State(s)
License Number
Type (Company / Individual)
Admitted Status (Yes / No)
License Holder Name
Responsible Individual Producer
These filters help streamline license maintenance as your database grows.
License Template Replacements (How They Work)
BindHQ provides two ways to include license details in documents:
1. Fillable PDF Documents
When creating a fillable PDF document, the following License data can be mapped to a document:
License Number
License Holder Name
Select one of these options from a mappable field dropdown, and BindHQ will fill it in automatically when the document is generated.
2. Template Replacements Tags
The same License data can be added to email templates and custom documents by using the correct template replacement tags [license_holder_name] and [license_number]. These tags allow dynamic insertion of license information wherever needed.

Tags ensure that the correct licensing details always appear on outgoing communications and documents.
How BindHQ Uses License Data Automatically
Whenever a user generates a Fillable PDF, Custom Document, or an Email Template mapped with License data, BindHQ checks the home state on that record. If a license exists for that state, BindHQ automatically inserts:
The correct license number
The correct license holder name
If no license is found, these fields will appear blank, signalling that a license needs to be added or updated.
