Emailing from within BindHQ

Introduction

This article explains how to compose, send, and store emails directly within BindHQ.

Compose and Send an Email in BindHQ

You can compose an email from any page in BindHQ.

Users most commonly compose emails from the Policies or Applications pages so the email is automatically associated with an account. When sent from these sections, the email is stored under Documents → All Files and Correspondence.

Steps to Compose an Email

  1. Click the User Options drop-down in the top-right corner of any page and select Email.

  2. Fill in the Recipient field and add Cc or Bcc if needed.

  3. Use the Select a Template drop-down to choose an existing email template (for example, Application Confirmation). Templates are available for Applications and Policies.

    • Note: This feature is not available from the Home Dashboard.

  4. If a template is selected, the Subject and Message fields will be auto-filled. You can edit them as needed.
    If no template is selected, enter the subject and message manually.

  5. (Optional) Click Add Attachments to include relevant files.

    • You can upload files from your computer.

    • If you’re composing from the Policies or Applications tab, you can also attach documents already stored in BindHQ.

  6. Click Send Message.

Store Emails Using BCC

BindHQ allows you to store important emails that may not be automatically captured in the system by following just two steps:

  1. BCC your BindHQ email address. This address is configured in your company’s BindHQ profile.

  2. Reference an existing BindHQ account (an application or policy) in the email subject line, preceded by a hashtag (#).

Steps to Store Emails

  1. Open your preferred email tool.

    • If you’re emailing from within BindHQ, open the User Options menu in the top-right corner of any page and click Email.

  2. Compose a new email.

  3. In the To field, enter the recipient’s primary email address.

  4. In the BCC field, enter your BindHQ email address (e.g., yourcompany@bindhq.com).

In the Subject line, include the policy or application number preceded by a # (e.g., #12345).

  • Tip: Use the clipboard icon above the policy or application number in BindHQ to copy it with the correct formatting.

  1. Write your message in the body of the email.

  2. Click Send.

The email will be automatically stored in BindHQ under the History tab of the referenced account.
