Emailing into BindHQ

Introduction
This article explains how to store emails and email correspondence in BindHQ using your company's BindHQ email address.
Emailing into BindHQ allows users to associate emails sent from external email clients (such as Outlook or Gmail) with existing Policies or Applications, ensuring that important communications are stored and accessible within the system.
How Emailing into BindHQ Works
To store an email in BindHQ, two requirements must be met:
Your company's BindHQ email address must be included in the BCC field.
The email subject line must contain a valid Policy Number or Application Number preceded by a hashtag (#).
When these conditions are met, BindHQ automatically associates the email with the corresponding record and stores it within the account history.
Sending an Email to BindHQ
Open your preferred email application, such as Outlook or Gmail, and compose a new email.
In the BCC field, enter your company's BindHQ email address.
Your companys email can be found by going to the settings-company settings- company profile.
Example:
yourcompany@bindhq.com
In the Subject line, include the Policy Number or Application Number preceded by a hashtag (#).
Example:
#12345 Renewal Documents
Complete your message and send the email. BindHQ will process the email and automatically attach it to the referenced Policy or Application.
Finding Your Stored Emails
Once processed, the email will be available within the referenced record.
For Policies
Navigate to:
Policy → Documents → All Files and Correspondence
For Applications
Navigate to:
Application → Documents → All Files and Correspondence
The email will also appear in the account's activity and history records.
Tips
Use the clipboard icon displayed next to the Policy Number or Application Number in BindHQ to copy the reference number with the correct formatting.
Always verify that the BindHQ email address is included in the BCC field before sending. Emails sent without the BindHQ address will not be stored automatically.
