Managing Email Templates

Introduction
This article explains how to create and manage Email Templates in BindHQ. BindHQ enables you to create email templates that can be used to send out emails with templated verbiage from within your AMS. Additionally, these email templates can use the data already entered into BindHQ.
Who can access the email templates
Only Admins can access and manage email templates, but everyone can use the created templates.
For Admins, the feature is accessible at Settings - Customisation - Email Templates.
Creating Email Templates
Go to Settings → Customization and click Create New Email Template.
Enter a template name to make it easy to find when composing emails.
Select a template type. The following types are currently available: Application, Brokerage Submission, Invoice, Policy,and Quote Document.
Add the email subject and email body. The email body works just like a regular email editor and supports tables, images, videos, and links.
Insert dynamic replacement tags where applicable.
Click Browse Dynamic Replacement Tags to open the tag library in a new tab.
Use the filter to quickly find the tag you need, then click Copy and paste it into the desired spot in your template.
Click the Preview tab to review how your template will look with dummy data.
Once everything looks good, save your template.
About Template Replacements
Template Replacements are placeholders that are automatically replaced with real data when you send an email using the template.
For example, [insured_name] will be replaced with the name of the insured.
Some replacement tags are common, meaning they’re available for all template types.
Others are specific to certain types. For instance, a policy number tag is only valid for Policy templates, not for Applications.
💡 Tip: Use dynamic tags to personalize your emails and save time on repetitive tasks.
Sending Emails Using Email Templates
To use an email template when sending emails, simply select a template from the email side pane where templates are available.
The evaluated version of the template’s subject and content will be automatically inserted into the email fields. You can then review and edit the email before sending it.
